After you select the library name from your Network Places or have manually entered the URL for the library, press the Enter key. This displays the contents of the library. Again, navigate through any subfolders if necessary to open the folder where you want to save the workbook. With the folder selected, you could save the spreadsheet at this point by entering a file name and clicking the Save button. However, you would only wind up with a noneditable spreadsheet again, just as if you had used the upload option from within SharePoint. Instead, click the Excel Services Options button at the bottom of the Save As window before uploading the file. This button opens the Excel Services Options dialog box shown in Figure 8-8.

If your site requires content approval, all documents first enter a draft state. While you can set the Draft Item Security option in Versioning settings to allow any user the right to read draft items, I do not generally recommend this. Rather, you typically want to limit the ability to see draft versions to only users who can edit items in the current library or to users who can approve items in the current library. Of course, the creator of the draft can always see the draft version. This is true whether you are tracking versions of the item or not. The situation is a little more complex when you do not require content approval. In this case, if you do not track versions, then every time you save changes to an item, those changes are immediately visible to everyone. In fact, even if you only keep major versions (published versions), everyone still sees immediately any changes you make to an item. Only when you keep major and minor versions can you choose to hide the minor versions (drafts) from all users and limit the visibility of those drafts to other users of the library.

With that basic understanding, how does that affect publishing your documents Well, you should consider a document published immediately if you do not require content approval no matter whether you track versions or not. On the other hand, any time you require content approval, whether you track versions or not, SharePoint does not consider your changes published until someone with approval rights has approved them. During that time, you can determine who can view those drafts. When you turn off all versioning, management of the document library becomes informal. While this practice minimizes the amount of space needed by your site, if you ever need a prior version of a document, you may be out of luck unless you can restore one from a backup copy of the SharePoint database. However, retrieving documents from a backup copy of the database requires time and a separate place to restore it. Such extra work will not earn you any bonus points with your SharePoint administrator. The library example above has major and minor versioning enabled. To publish your most recent document, return to your Shared Documents folder and open the drop-down menu associated with that document. If it shows the document as still checked out because the Check In option appears, click the Check In option, and choose how you want to save your changes. You can save your changes as a new minor version, you can replace the current minor version, or you can publish the next major version. Figure 1-49 show these options.
